Privacy Policy

Draft for review. This policy is published for the Deafopia stakeholder preview. It must be reviewed and approved by Deafopia (and legal counsel where appropriate) before real attendee data is collected.

Who we are

Deafopia is a Deaf-owned, community-led event organizer. This policy covers the Deafopia event app (iOS, Android, and web) and this website, operated by Deafopia. Contact details appear at the end of this policy.

What we collect

  • Attendee accounts. Your email address and the name shown on your event pass. Passwords are stored only as salted hashes and can never be read by anyone, including us.
  • Event registrations. The name and email you register with, and the event you registered for.
  • Vendor applications. Business name and contact details, booth preferences, and payment status.
  • Photos you upload. The image itself. We strip location (GPS) and other hidden metadata from every photo on our servers before it is stored or shown to anyone.
  • Pass scans. When an organizer scans your event pass, we record the scan so the same pass cannot be reused.
  • Payments. Card data never touches Deafopia systems. Vendor booth payments are handled by Stripe under their own privacy policy.

We do not run advertising trackers or analytics on the app, we do not sell your information, and we do not share it for marketing.

How we use it

  • Creating your account and keeping you signed in securely.
  • Sending transactional email only: address verification, password reset, and event-day logistics for events you joined.
  • Producing your event pass and validating it at the door.
  • Reviewing uploaded photos before they appear in community albums.
  • Coordinating vendor booths and booth payments with organizers.

What other people can see

Your contact details stay with event operations. A public scan of your pass QR code shows only your name, role, event, and booth assignment — never your email. Community albums show only photos a Deafopia organizer has reviewed and approved.

How long we keep it

  • Account and profile data: until you delete your account or ask us to.
  • Registration records: until the event has finished and any operational need has passed.
  • Photos: until you or a Deafopia organizer removes them.
  • Pass-scan records: until shortly after the event they belong to.

Your choices

You can edit your profile, remove uploaded photos, and delete your account from the app. Deleting your account removes your sign-in and profile; records required for event operations (such as registration history) are handled as described above. You may also contact us using the details below to exercise access, correction, or deletion requests.

How we protect it

Accounts use hashed credentials and revocable sessions. Sign-in, verification, and recovery attempts are rate-limited, and all administrative access is protected by named, role-based accounts. No system is perfectly secure, but we design for the minimum data needed and defend what we hold.

Children

The app is not directed to children under 13, and we do not knowingly collect their personal information.
